PLANNING

  • Manages the studio planning and calendar milestones related to all studio collections
  • Organises and coordinates cross-functional meetings relating to collections milestones
  • Co-ordinating studio agenda and resolution of schedule conflicts
  • Organises the global studio meetings, booking rooms including catering when necessary
  • Upstream highlights tension points finding resolution including temp. support
  • Organise and set up events (workshops, lunches, welcome meetings, Xmas parties, etc..)

INVOICES

  • Controlling of studio expenses and budget management
  • Note de frais for studio shopping
  • Studio invoice control and management (validation, follow up and payments)
  • Follow up and approval of all freelance contracts, expenses and invoices
  • Suppliers research, creation and negotiation
  • Diverse studio shopping and office supplies (stationery, fitting equipment, etc..)
  • Booking of models for studio fitting and look books or meetings
  • Management of the KL organisation and budget management every season

ADMINISTRATION

  • General day to day studio co-ordination for team of approx. 40+ people
  • Point person for reception relating to studio, access to visitors (badge inquiries, etc..)
  • Point person for mail and studio deliveries
  • Manages all requests to services généraux for support, intervention and follow up
  • Supervising and supporting IT presence, intervention and follow up
  • Storage organisation and general studio maintenance, tidiness and cleaning
  • Studio installation support
  • Stationary order and stock management

HR

  • Maintenance of studio documents inc organigrams, employees lists
  • Arrival, departure and follow up (profile creation, database, badges, phones, desks)
  • Support in the onboarding of new team members
  • Freelance set up support (contracts, invoicing and follow up, travel bookings, budget)
  • Record and manage studio overtime and weekend presence
