In this role, you will work closely with senior leaders, department heads, and external partners, contributing to important decision-making processes.
Responsibilities
- Oversee the AD’s calendar, managing and organizing meetings, appointments, and travel arrangements to ensure optimal time management.
- Prepare and review correspondence
- Handle sensitive information with discretion, maintaining confidentiality in all matters.
- Serve as a liaison between the AD and both internal and external stakeholders, ensuring effective communication and fostering strong relationships.
- Prioritize and organize incoming communications, such as mail, email, and phone calls, directing or handling them independently as necessary.
- Coordinate logistics for executive meetings and events, including booking venues, preparing materials, and managing attendee communications.
- Assist in preparing materials for board and committee meetings, ensuring timely and accurate distribution of documents.
Requirements
- Efficiently manage the AD’s calendar, ensuring all appointments, meetings, and travel plans are organized without conflict.
- Maintain confidentiality around sensitive matters and handle all tasks with discretion.
- Strong communication skills to compose emails, and other written correspondence on behalf of the AD.
- Prepare materials for meetings, such as agendas, presentations, and follow-up actions.
- Proactively anticipate the AD’s needs, identifying potential issues and suggesting solutions ahead of time.
- Act as a liaison between the AD and various internal teams, ensuring seamless communication and collaboration.
- Possess strong organizational skills to manage multiple priorities and meet deadlines effectively.
- Proficient in office software and tools, ensuring smooth day-to-day operations and continuous process improvements.
